Position: Purchasing & Operation Intern

Working Hours: Monday to Friday from 9am – 6pm

Location: Singapore

Reports to: Purchasing Manager


Overview:

As a Purchasing & Operations Intern in a fast-growing premium solutions company with a strong presence across APAC, you will play an important role in supporting our regional purchasing, procurement, and operational activities. This internship offers hands-on exposure to the end-to-end procurement process, vendor coordination, purchasing data management, and day-to-day business operations across multiple markets. Working closely with the Purchasing Manager and regional teams, you will assist in maintaining accurate purchasing records, coordinating procurement activities, supporting vendor relationships, tracking orders and deliveries, and ensuring timely and efficient procurement and operational support across the region.

 

Key Responsibilities

  • Support day-to-day purchasing and procurement activities, including purchase requests, quotations, purchase orders, and order tracking.

  • Maintain accurate and up-to-date purchasing data, records, documentation, and vendor information.

  • Assist the Purchasing Manager in sourcing and coordinating with existing and potential vendors.

  • Support quotation collection and basic price and vendor comparisons to facilitate purchasing decisions.

  • Follow up with vendors on order confirmation, delivery schedules, lead times, and outstanding items.

  • Coordinate internally with Operations, Finance, and other relevant teams to ensure smooth purchasing processes.

  • Assist in monitoring purchasing timelines and identifying potential delays or discrepancies for follow-up.

  • Support invoice, purchase order, and delivery documentation checks where required.

  • Assist with procurement reporting, data consolidation, and preparation of purchasing-related reports.

  • Support inventory, equipment, supplies, or other operational coordination as required.

  • Participate in process improvement initiatives to improve purchasing efficiency and data accuracy.

  • Provide general administrative and operational support to the Purchasing and Operations team across APAC.

  • Undertake other purchasing, procurement, and operational assignments or projects as required.

  • Maintain accurate and up-to-date inventory records for all equipment, tools, and demo units.

  • Support sales team with product sourcing and vendor price enquiries.

  • Manage new vendor onboarding process and general vendor management; maintain suppliers' records.

  • Issue Purchase Orders accordingly to operational needs.

  • Receive items, fulfill sales orders, and transfer inventory based on operational needs.

  • Manage faulty product replacements and RMA process with vendors.

Qualification & Competencies:

  • Diploma or Degree in Supply Chain, Logistics, Procurement/ Purchasing or a related field.

  • 1–2 years of experience in inventory or operations (Candidates without experience are welcome to apply)

  • Strong organizational skills and a sharp eye for detail, high accuracy, and follow-up

  • Excellent communication and coordination skills — you make things happen!

  • Proficient English skills, both written and verbal. Other language such as Mandarin, will be added advantage. We are seeking candidates proficient in Mandarin to effectively communicate with Mandarin-speaking clients.

  • Effective communicator with both technical and non-technical individuals.

  • Able to interact professionally at all levels and across diverse cultures.

  • Able to manage multiple tasks simultaneously with competing priorities and deadlines.

  • Strong coordination within all business functions and results driven.

  • Effective problem resolution skills.

  • Computer skills; Microsoft Office, ERP, CRM related.
